The Berkeley Carroll School is a Pre-K through grade 12 college preparatory school of almost 1,000 students located in the Park Slope section of Brooklyn in New York City. Berkeley Carroll is seeking an experienced Executive Assistant to the Head of School. The ideal candidate will have a positive approach and the ability to learn quickly and demonstrate adaptability and flexibility while managing multiple projects. The individual must be able to work efficiently and under pressure at times, prioritizing a wide variety of activities and confidential matters with discretion.

Responsibilities include, but are not limited to:

  • Manage an extremely active calendar of appointments and plans, addressing conflicts proactively and ensuring that the Head of School’s schedule is appropriately maintained
  • Work closely and effectively with the Head of School to keep them well informed of upcoming commitments and responsibilities as well as emergent issues at the school, following up appropriately and updating as necessary
  • Provide a “gatekeeper” role for direct access to the Head of School’s time and office, prioritizing effectively
  • Schedule meetings, internally and externally, by working effectively with colleagues, Board members, parents/guardians and students
  • Manage multiple tasks simultaneously and prioritize appropriately
  • Answer, screen and route phone calls as appropriate
  • Assist with email organization and correspondence, as necessary
  • Maintain a physical presence in the Head’s Office throughout the school day
  • Organize/scan office records and files
  • Organize special annual and seasonal events (e.g., annual faculty and staff events, new employee welcome events, etc.)
  • Organize all board and board committee meetings for the school year and provide set up (rooms, catering etc.) as needed for in person meetings
  • Liaise with the board chairs and board committee members and be the point of contact for all Board inquiries as well as upload all Board documents into Diligent
  • Collaborate with the business office for reimbursements, purchase orders, AMEX reconciliations, etc.
  • Assist with tracking meeting requests and needs for various Boards of which HOS is a member
  • Assist with the arrangement of school visits
  • Assist with ad hoc projects, as needed

Requirements:

  • Bachelor’s degree required
  • 5-10 years of experience in an executive assistant role; educational setting experience preferred
  • Strong knowledge of G-Suite including Google Drive and Microsoft Office including Word, Excel and PowerPoint; knowledge of Veracross and Diligent or high degree of computer literacy and facility
  • Excellent verbal and written communication skills
  • Ability to be discreet and maintain confidential information
  • Proactive and motivated approach with a “can do” attitude
  • Strong time management skills
  • Ability to work under time pressure with an attention to detail and commitment to excellence
  • Self-motivation and the ability both to take initiative and to accept responsibility
  • Team player approach, with the ability to cultivate relationships among all members of staff, faculty, directors, and board members
  • Capacity to take a resourceful, proactive approach and ability to stay one step ahead
  • Upbeat and confident personality who enjoys developing interpersonal relationships
  • Adaptability, flexibility, dependability and accountability
  • Ability to see projects through from beginning to end with interruption
  • Ability to be physically present at school during school days and time when school is in session as well as outside of normal school hours, as needed
